How to Review a Structural Steel Supplier’s Quality Documents

Separate management system certificates, product-related certification and order inspection records when assessing a structural steel supplier.

A useful steel supplier review connects company certificates with the documents required for your actual order. A management system certificate, a product-related certificate and an inspection report answer different questions. Reviewing them separately makes it easier to identify what is available and what still needs to be agreed.

Check what each certificate covers

Start with the named organisation, certificate scope, production site where applicable, issuer and validity information. ISO describes ISO 9001 as a standard for quality management systems, with certification involving an independent assessment of that system. It should therefore be read for its management-system scope rather than treated as an inspection report for a particular shipment.

For product-related certification, read the stated scope and supporting documents. Tiancheng’s EN 1090 information identifies the named manufacturer and site, EXC2 execution class, materials and welding processes in the annex. Request the current documents relevant to the package you intend to buy.

Turn the specification into a document list

Prepare a list with the project’s technical team before the order is released. State what each record needs to demonstrate, the acceptance requirements, its required format and when the customer needs to review it. Avoid relying on a broad request such as “all quality certificates” without defining the intended records.

Dimensions and treatmentWhat dimensions, surface preparation, coating or galvanizing records must be reviewed?
Release and packingHow will accepted components, package references and shipment records be connected?

Agree review stages before they are needed

Some customer or third-party checks need to be coordinated with the production sequence. Identify the proposed review points, attendees, notice arrangements and reporting expectations early. Confirm which documents need approval before the relevant work or dispatch can proceed.

If your team plans a factory assessment, distinguish that visit from inspection of an actual order. A supplier review may focus on facilities and management arrangements; an order inspection should address the agreed components and acceptance requirements.

Keep the handover connected to the steelwork

At dispatch, receiving personnel need to relate the delivered packages to member references and the required records. Agree how the document package, packing list and component identification will be organised so the destination team can check the shipment against the order.
